Invoices issued and invoices received are kept in the same place, and the balance follows from them: how much was invoiced, how much was collected and how much is left. None of those figures is added up by hand.
The debt that needs a phone call today
What has not been paid is split by age, so it is clear which one needs a call today and which one can wait. A single list of everything unpaid does not make that distinction — and that distinction is the work.
The invoice and the question about it stay together
A question about a particular invoice stays with that invoice. This seems small until someone looks for it a week later — then it is the difference between an answer that is ready and a conversation read again from the start.
What leaves the program
The invoice register and the account balance download as PDF or Excel when they are needed for a bank, for an audit, or simply for your own records.

The price of the service and the work it covers are set by a contract between you and the office — those are discussed directly, not through a web page.
