Contracts, certificates and uploaded letters sit in the entity's folder, separated by kind. They are uploaded from a computer or from a phone — even as a photograph of a sheet of paper.
The search goes inside the paper
The search also reads the text of a scanned PDF. So a contract is found by a word from inside it, not by the name someone gave it two years ago and nobody remembers today.
The same paper does not enter twice
A document uploaded twice is recognised and does not enter a second time. That is what keeps the folder readable: a folder with three copies of the same contract does not say which one is the last.
Who sees what is never left implied
The office decides, for each person, which kinds of document they see. This holds inside your business too: whoever keeps the invoices has no need to see the employment contracts, unless you want it that way.
